    Position Description:

    This position is within the Strategic Partnerships and Development division of the District of Columbia Public Library system and serves as a Program Manager responsible for managing events for DCPL. DCPL is seeking a highly organized, creative, detail oriented and motivated person who will serve as lead for event planning, management, and production. The incumbent must have professional work experience in managing a team to plan, organize and execute special events to allow them to assume substantial responsibilities with minimal orientation. 

    Under the general guidance of the Director of Strategic Partnerships and Development, the incumbent will oversee a team of event coordinators to ensure the success of events held at DC Public Library locations, primarily at the Martin Luther King Jr. Memorial Library. Events may include library programs with attendance of more than 50 people; and paid event rentals including weddings and other social events, concerts, theatre performances, lectures, workshops and corporate meetings. This position would coordinate and direct the delivery of services including Catering, Security, Facilities, and A/V, and will implement the relevant policies and procedures established by library administration. 

    Responsibilities:

    • Directs staff engaged in the planning and coordination of programs and events at DC Public Library, including external special events and library-sponsored events. 
    •  Manages a team to negotiate, book and monitor events, providing expertise and consultation regarding facility capabilities to meet the needs of clients. 
    • Coordinates efforts of vendors such as caterers and decorators / event planners, along with internal partners such as Audio/Visual, Facilities, Security to ensure that all events meet and exceed client expectations.
    • Reviews lessee’s license agreement to ensure dates, times, leased space and equipment provided are accurate and contractual provisions are fulfilled.
    • Manages marketing resources for the event rental program, including a website presence, social media and advertising, while ensuring that all marketing for the event rental program is consistent with DCPL’s overall branding and marketing efforts.
    • Directs and participates in the pre-event planning, reviewing any past history of the event, initiating correspondence and conferences with show management, their suppliers, and Events DC staff. 
    • Manages event rental expenses and revenue, working with DCPL’s Budget and Finance teams to ensure accurate reporting and accounting of all event rental revenue.  Assists in the compilation and review of event and contractor charges with appropriate DCPL staff and management, and reviews documentation for invoice preparation.
    • Ensures compliance with all facility and appropriate governmental rules and regulations by DCPL staff and all service providers working on the event.
    • Conducts follow-up with event rental clients, conducting post-event critiques and evaluations of events to ensure high quality service at all times.
    • Performs a variety of related tasks and duties as assigned.

    Qualifications:

    Bachelor’s degree from an accredited college or university with major coursework in Business Administration, Public Relations, Hospitality, Communications, Hotel Management, or a related field plus a minimum of 5 years of experience in event management to include at least 2 years of experience in a management role. In addition, the following is required:

    • Thorough knowledge of event management of all kinds, including weddings and other social events, concerts, theatre performances, lectures, workshops and corporate meetings.
    • Knowledge of ancillary but critical business lines that impact event rentals, including catering, facilities, security, and Audio/Visual.
    • Marketing and promotional experience, including web and social media, in person marketing and written communication and design.
    • Ability to work independently with minimal supervision but great accountability.
    • Initiative, diplomacy and the ability to interact with a variety of departments, contractors and personalities in pressure situations.
    • Ability to express ideas and convey information effectively, both orally and in writing.
