The Archivist’s role at Georgetown Day School is designated as an independent contractor. The individual or organization will be required to invoice Georgetown Day School for services rendered, in accordance with IRS Form 1099 regulations. The individual or organization interested in providing these services shall develop and submit scope of work documentation to Chief of Staff, Lauren Dickert (ldickert@gds.org) for review and approval by Georgetown Day School.
Upon mutual agreement of the terms and payment schedule, a contractual relationship will be established between the school and the independent contractor.
Expectation of Archivist Role: The archivist will be contracted to manage the School’s archives with the purposes of collecting, preserving, conserving and restoring where necessary; records pertaining to the function and general operation of the school and the broader GDS community. The archivist will ensure that records which have value as authentic evidence of administrative, corporate, cultural and intellectual activity, are made, kept, and used. The archivist will play a critical role in supporting institutional memory regarding school life through the management and retention of its personal, corporate, social materials, as well as ensuring organizational efficiency and accountability through these materials. The archivist will provide research services about aspects related to the School’s history in support of the school’s upcoming 80th Anniversary (2025-26 school year). The archivist will design and participate in regular activities to promote the history and heritage of the School and the existence, maintenance, and the historical, cultural and social significance of the archives within the wider school community. Activities may include articles for school newsletters, magazines, reports, websites or other publications. Other outreach activities may include oral history projects, student liaison, alumni, volunteer programs and temporary or permanent displays. The archivist is responsible for accessioning, arranging and describing all material accepted into the School Archive in keeping with professional archival policies and standards. The archivist will consult with the Chief of Staff with regard to records management. The archivist is responsible for developing, maintaining and implementing archive policies and procedures necessary to support the School Archive and to ensure that the School fulfils its record keeping obligations. It is recommended that a School Archives Policy, covering all aspects of managing and operating the archives, be developed by the archivist and approved by the Leadership Team. The archivist will work with all staff of the School and actively develop relationships with members of the wider school community – staff, students, families, alumni, etc. Essential Duties And Responsibilities Identify, collect, and organize various materials including ephemera, photographs, digital communications, and publications relevant to the school’s history. Implement preservation practices to ensure the longevity of physical and digital archives and facilitate access for educational and research purposes. Accurately catalog and maintain records of all items in the archive, using both physical and digital systems for easy retrieval and reference. Assist students, faculty, and alumni with research projects related to the school's history, providing access to archived materials as needed. Participate in creating displays and writing articles for school publications to highlight the historical significance of the archive's contents. Work closely with school departments, including the history department, library, and advancement office, to collect and showcase relevant archival materials. Help develop systems and practices for ongoing archival material retention. Qualifications Currently enrolled in or a recent graduate of a college or graduate program, preferably in History, Library Science, or a related field. Strong organizational and research skills, attention to detail, and proficiency in handling both physical and digital archival materials. Prior experience in archiving or records management is preferred but not required. Able to work independently and collaboratively on multiple projects in a dynamic school environment. Available to start in the summer and able to commit to the schedule agreed upon, with flexibility around academic commitments.
